Frequently asked questions
We've gathered the most common questions people ask before getting started with CloudotNet. If you can't find your answer, write to us or give us a call.
General
What is CloudotNet?
CloudotNet is a flexible, cloud-based work-tracking platform that brings your team's work together in one place. You assign tasks to a person or a group, and you set up approval, notification and scheduling rules yourself, without code. The field team closes jobs from their phone with photos, and managers see everything in real time.
What kind of work can it be used for?
Anywhere you hand out work to a team and follow it up: tasks and work orders, fault and service requests, scheduled maintenance and checks, inspections, approval processes, customer and equipment records. It is used across industries such as facility management, maintenance and technical service, construction, energy, telecom, healthcare, quality and health and safety. The platform isn't tied to any one industry; you define your own work types, forms and processes.
Which industries can use it?
There are example work types and processes for facility management, maintenance and repair, construction, energy and solar, telecom field operations, hospital operations, health and safety, and quality management. If your industry isn't listed, you define your own work types, forms and processes.
Account and pricing
Is it free? What determines the price?
You can create a free account and start your own company and first project right away. The number of users doesn't change the price, so you can add your whole team.
What does the free account include?
With your free account you use Task & Field Management (tasks, checklists, surveys, photo-backed closure) and Process Design (approvals, notifications, scheduling), with unlimited users. Records & Forms, where you set up your own record types and screens, is part of a higher plan; when you need it, we'll work out the right plan with you.
Do I need to install anything?
No. CloudotNet runs in the browser; you can start using it as soon as you open your account. There are no servers or programs to install.
Can I get help with the setup?
Yes. Get in touch; we'll listen to how you work and walk you through the right setup on screen.
How do I manage more than one branch, site or facility?
You open each one as a separate project, all under the same company account. You invite your team to each project separately.
Process design
Do I need software skills to design a process?
No. A process is built by choosing the steps “when does it start, under which condition, who approves, how long to wait, who is notified”. No code is written.
Can I use the example processes?
The examples on this site, such as fault reports, customer service requests, leave requests and spend approvals, show what you can build in CloudotNet. You set up your own process by choosing the steps, and we're happy to help with the setup.
Can I create my own forms and records?
Yes. You build your own checklists and surveys linked to tasks, and your field team fills them in on their phone; this is included in the free account. Your own record types and screens, such as equipment, customers, contracts or suppliers, are set up with Records & Forms, which is part of a higher plan.
Field team
Does field staff have to download an app?
No. CloudotNet works in the phone's browser. Staff sign in with the link in their invitation email.
How do I know the work was really done?
Before / after photos, a checklist or a document can be required to close a job. The job can't be closed without proof, and every closure is recorded with its date.
What can staff see?
Depending on the permissions you give, staff see only their own jobs. Information such as costs and reports is visible only to people you authorize.
Security and data
Is my data safe?
Every company's data is kept separate and never mixes with other companies. You decide who sees what, and every step on a task is recorded with its date.
Can I see who did what on a job?
Yes. Every step on a task is kept in the task's history, together with who did it and when.
Can we connect our own systems?
Yes. Your developers can create an API key and connect your own systems to CloudotNet, for example to list projects or create tasks. Details are in the Help Center.
