Use case
Keep track of the jobs that get lost in WhatsApp groups
With CloudotNet every job that would have been posted in a WhatsApp group becomes a record: everyone can see who has it, where it stands and how it was closed. Your team keeps using WhatsApp to chat; the jobs are tracked in CloudotNet.
How it's done today, and what's hard
WhatsApp groups are quick and everyone already uses them. Sending a message is all it takes to hand out a job, so that's how most teams start.
It gets harder as the number of jobs grows. A job scrolls out of sight between other messages, and the only way to know who took it or whether it's done is to ask. Counting the month's jobs means scrolling back through the chat.
Step by step with CloudotNet
- Open your project and invite the teamCreate a free account and your first project. Your team signs in from their phones with the invitation sent to their email.
- Set up your teams as groupsRecreate your WhatsApp teams as groups in CloudotNet, for example “Field Team” or “Technical Service”.
- Open a task instead of sending a messageEnter the title, priority and location, and assign the job to a person or a group. Every job gets its own number.
- Keep the conversation on the jobQuestions, notes and files go into the task's comments and documents, so everything about a job sits in one place.
- See the status without askingStaff accept, start and finish the job. In the Kanban view, jobs sit in the New, In progress, On hold and Closed columns, and changes show up instantly.
- Close jobs with proofIf you require a photo or a report, the job can't be completed while it's missing.
- Let the system tell peopleSet up a process that notifies the right people when a job is completed. Notifications go out by email and in the app, and late jobs show up in the “Overdue” filter.
Frequently asked questions
Do we have to stop using WhatsApp?
No. Your team can keep using WhatsApp to chat. The difference is that the record of each job lives in CloudotNet: who has it, where it stands and how it was closed, all in one place.
Will my team find a new tool hard to learn?
Staff only see their own jobs: they accept, start, add photos and finish. CloudotNet runs in the phone's browser, so there's no app to download.
Does CloudotNet send WhatsApp messages?
No. Today notifications go out by email and as in-app notifications. SMS notifications are on our roadmap.
Can I find old jobs later?
Yes. Every job keeps its number, history and documents. You can search and filter the list and export it.
Is it paid?
You can create a free account. The number of users doesn't change the price, so you can add your whole team.
